Your tasks in detail and priority: Build and run office operations from scratch: develop and implement all recurring processes — catering orders, material supply, facility checks, flex-desk coordination. Document everything. Create playbooks that work without you. → High performance: precision in the design. Repeatable quality, every day. Responsibility for visitors and guests: Design the entire visitor journey — Pre-Communication, Reception, Registration, Access, Catering and Refurbishment. Each guest leaves Blackwave with a professional impression. → Accountability: The experience is yours. No ball can fall. Reliably manage spaces, flex-desk and warehouses: keep booking systems clean, track inventory, coordinate service providers. recognize conflicts before You arise. → Accountability: own systems. Own responsibility. Proactively communicate — with team and facility management: report problems early — facility corridors, catering equipment, access problems. Don't wait until someone asks. Ownership: You don't wait for someone to tell you what to do. You see what is missing, develop the solution and stand for the result straight — even if nobody looks. Experience: background in office management, facility coordination, team assistance or hotel industry (reception, concierge, catering). Positive signal: You have built up processes, not only executed. Building processes: proven ability to develop operational processes, checklists or playbooks from scratch. You are driven by ambiguity, not slumbered — the construction motivates you more than the continuous operation. Visitor & Guest Management: You have already managed structured visitor logs. You think in journeys and rituals, not just in To-dos. High-ranking guests don't take you out of peace. Organization & Reliability: Highly structured and reliable. You keep catering, rooms, camps and guests at the same time — without leaving anything to fall. Communication: Safe in dealing with internal teams, suppliers, facility management and leading stakeholders. Direct, diplomatic and proactive. presence on site: 100% presence in Garching, 5 days/week, at least 5–6 hours/day. This role only works on site — no home office. Language knowledge: German at the level of mother tongue or guaranteed to negotiate (C1–C2). English min. B2 for guest communication and internal coordination. Nice to have: experience with space/desk booking software, ERP or inventory tools as well as basic knowledge in facility management (coordination with FM teams, work security).
