Project Coordinator – Project Coordination for KI:Expertisezentrum.nrw (m/f/d)

The Center for Teaching and Learning Services (CLS) is the partner for teaching at RWTH Aachen University. In the CLS we develop solutions to improve teaching, learning and testing. The focus is also on the use of generic artificial intelligence (AI) to support our teachers and students. The consortial project “KI:Expertisezentrum.nrw”, funded by the Ministry of Culture and Science of the State of NRW, bundles the three previous AI projects KI:edu.nrw, KI:connect.nrw and OpenSource-KI.nrw. The aim is to strengthen the digital sovereignty of universities in the field of generic AI, to raise synergy effects and to develop NRW as a model for the meaningful use of AI in higher education. The project works in the three fields of action Competence, Inference and Apps. RWTH Aachen is responsible for the apps field of action at the AI:Expertisezentrum. Here, the development and operation of AI applications for all NRW high schools are responsible, especially the NRW’s own surface “KI:connect”. The enrolled office is located in the CLS and connects the public work and scientific communication for the Apps field of action with the organizational and administrative support of the project coordination at the RWTH site. The RWTH is certified as a family-friendly university. RWTH offers a variety of health, counselling and prevention services (e.g. university sports) as part of a university health management. There is a wide range of training and the possibility of obtaining a job ticket for employees and civil servants.

Agiles Project Management: You coordinate the app subproject at RWTH based on agile project management methods, develop appropriate processes for onboarding all project participants and ensure ongoing monitoring to ensure project targets at all levels. Project coordination and reporting: With the assistance of project assistance, you coordinate the activities at RWTH site through effective resource and risk management as well as regular communication and reporting of the project results to all stakeholders, in particular the consortium leader (Ruhr University Bochum) and the grantor. These include regular reporting and documentation as well as coordination of contractual and partnership matters with universities and external cooperation partners. Administrative activities: With the assistance of project assistance, you organize and accompany regular meetings such as Jour Fixes, project meetings and consortial meetings and ensure the necessary infrastructure for efficient joint digital work in the network. Stakeholder Representation: You support the project-related bodies and voting rounds at the RWTH site as well as within the overall network and ensure the content and organizational connection to the project bodies of the consortium. This also includes coordination of the pilot project as a central AI licensing for NRW universities. Financial controlling and budget monitoring: You create, monitor and adapt the project budget of the RWTH component in coordination with the project office of the CLS and together with the project assistance, and support the expenditure planning as well as the call for funds to the grantor. Networking: You network, organize and coordinate the work with internal and external partners, in particular the partners in the consortium, universities, research institutions and other actors in the NRW AI ecosystem, and maintain cooperation with existing networks such as AI.NRW, the Digitalisation University Forum and the AI Campus. In these tasks, you will be assisted by an assistance agency which is also assigned to the AI:Expertise Center.

You have successfully completed a university degree with the Master degree or a comparable degree. You have extensive experience in the planning, organization, coordination and implementation of scientific projects, optimally related to digital transformation or the use of AI in educational contexts. You were able to gain extensive experience in the implementation of third-party funding projects, in particular with interdisciplinary teams. You have competences in cross-device cooperation with various stakeholders. You have the ability to work quickly into complex situations and environments. You are open to the combination of scientific and service-oriented work. You bring interest in and ideally knowledge of generic AI as well as their use in university and education. You have very good knowledge of German and English.
