Administrative employee in the IT secretariat (m/f/d)

The Department of Information Systems and Databases (Informatics 5) is looking for a part-time (50%) administrative staff at the next possible time. The Chair of Information Systems and Databases (Informatics 5) under the leadership of Prof. Dr. Stefan Decker deals with the research, development and practical testing of modern technologies in the fields of Knowledge Graphs, Generative AI, Augmented Reality and Data Management Systems. These technologies are used in diverse domains such as science, medicine, culture and technology-based learning. Our team is closely associated with the Fraunhofer Institute for Applied Information Technology (FIT), where more than 350 scientists in interdisciplinary teams work on innovative solutions on the topics of applied computer science. Our chair deals with the processing, integration, organization and analysis of different types of data. We cover the life cycle of knowledge-based value creation and decision support from data. This includes the conception of future solutions for data exchange in business and science. The RWTH is certified as a family-friendly university. In this position, you support the management, teaching and research of the chair by taking on diverse communication and administrative tasks. Your activities include: independent processing of personnel matters of student and scientific staff Administrative preparation and settlement of missions Processing student enquiries Support for appointment and room coordination Private office organization Support in managing third-party project accounts Participation in procurement procedures Document management and structured storage of data and documents Organisation and supervision of hostings: planning, coordination and implementation of hostings as part of events

Your profile We are looking for a dedicated and motivated personality with a completed commercial training or a comparable qualification. Ideally, you will also have the following skills and experiences: Basic commercial knowledge and a good understanding of figures Good to very good knowledge of German and good knowledge of English in word and writing Safe handling of current MS Office applications Embossed organizational and co-ordinative skills and communication strength Flexibility, resilience, team spirit and high service orientation A structured, careful and systematic way of working Absolute trustworthiness and a high degree of loyalty Also advantageous are: experience in administrative activities and the financial management of third-party funding projects, in particular in dealing with the policies of various third-party donors Knowledge of academic structures and working methods, for example through an activity in higher education or in a research-oriented institution Funded experience in procurement, accounting and accounting Good knowledge in handling financial and controlling systems, especially SAP

The employment is in the employment relationship. The place shall be occupied at the next possible time and shall be permanent. It is a part-time job with half the regular weekly working time. The grouping depends on the TV-L. The place is rated up to EG 6, depending on the personal condition. The job description is aimed at all sexes.
